Service Manager/Service Writer

Position Summary

Capital City Equipment Co. is seeking a customer-focused Service Manager/Service Writer.  This role combines front-counter service writing with coordination of workflow, communication, and quality to ensure equipment is repaired efficiently, safely, and correctly the first time.

Key Responsibilities

  • Greet customers, write repair orders, and accurately capture concerns, symptoms, and equipment details.
  • Schedule and coordinate service work; prioritize jobs and assign work to technicians to meet promised completion dates.
  • Communicate status updates, estimates, approvals, delays, and completed work to customers in a professional, timely manner.
  • Create and explain estimates and invoices; ensure labor, parts, and sublet charges are documented correctly.
  • Coordinate parts needs with the parts department; verify correct parts ordering and timely availability.
  • Monitor work-in-process, turnaround time, and quality; perform final review of completed jobs for accuracy and completeness.
  • Support technicians with information, documentation, and workflow planning to maximize productivity.
  • Handle warranty and goodwill considerations in accordance with company and manufacturer policies (as applicable).
  • Maintain a clean, organized service counter area and service documentation within the shop management system.
  • Promote a safe work environment and ensure customers and team members follow safety procedures.

Qualifications

  • 2+ years of experience in service writing/advising, service coordination, or service management (automotive, heavy equipment, ag, or similar).
  • Strong customer service and communication skills; ability to clearly explain technical information.
  • Excellent organization and follow-through; comfortable juggling multiple jobs and shifting priorities.
  • Working knowledge of shop workflow, basic mechanical concepts, and repair documentation.
  • Proficiency with computer and service management systems (ROs, estimates, invoicing).
  • Valid driver’s license and ability to safely operate equipment (training provided as needed).

Preferred Skills

  • Experience in equipment dealerships, fleet service and construction equipment.
  • Understanding of warranty administration and manufacturer programs.
  • Ability to assist technicians and improve processes, cycle time, and customer satisfaction.
  • Parts lookup/ordering experience.
  • Bilingual communication skills (helpful but not required).

Schedule & Location

Location: Des Moines, IA (on-site).
Schedule: Full-time. Monday – Friday.
